This guide outlines how to effectively use and navigate the Dashboard Analytics inside TheraSaaS to track your practice’s performance and client opportunities.
1. Overview of the Dashboard
The Dashboard provides a quick view of key metrics for practice owners and intake coordinators. The top three boxes are the most commonly used, showing:
Opportunities (Open, Lost, and Converted): Track how many opportunities have been created, lost, or successfully converted during a specific time period.
Value: This represents the financial value associated with these opportunities.
Conversion Rate: The percentage of opportunities that were successfully converted into clients.
2. Key Metrics to Focus On
The primary metric you will focus on is the Opportunities section:
Opportunities Created:
Set Timeframe: Use the default filter, Created On, to reflect how many opportunities were created within a specific timeframe (e.g., this year, this month).
Example: In the demo account, only four opportunities were created this year.
Opportunities Lost:
Click on Lost to view the number of opportunities marked as lost within a given time period.
Lost Reasons: TheraSaaS allows you to add reasons when marking an opportunity as lost (e.g., moved out of state, insurance issues, abandonment).
Example: If you mark an opportunity like "John Pediatrician" as lost due to abandonment, this reason will be reflected in the lost list.
Conversion Tracking:
Track how many opportunities were successfully converted by monitoring the conversion rate box.
3. Analyzing Lost Opportunities
View Lost Opportunities:
From the dashboard, click on Lost and set the timeframe (e.g., this year) to see a list of contacts marked as lost during that period.
Each lost opportunity will show the associated reason for the loss (e.g., moved, insurance issues, etc.).
Update Lost Reasons:
When marking a contact as lost in the Opportunities tab, provide a reason. This helps with future analysis of why potential clients were lost.
Example: You can create a new reason such as "Moved out of state" and assign it to the lost opportunity.
4. Pipeline Tracking
Visual Pipeline:
Use the visual pipeline to track where your opportunities are in the conversion process.
Go to the dropdown under Opportunities and select the New Client Appointment pipeline. This shows the current stage of each opportunity.
Stage Analysis:
Identify bottlenecks by reviewing the stages where most opportunities are stuck, helping you focus on moving them forward.
5. Tasks and Assignments
Task Overview:
View tasks related to opportunities in the dashboard. You can see tasks assigned to all users or filter by specific users.
Task Management:
This helps intake coordinators and staff keep track of client-related tasks to ensure nothing falls through the cracks.
6. Integrating Google Analytics and Google Business Profile
Google Analytics:
If your Google Analytics is connected, view website metrics directly from the dashboard.
Google Business Profile:
Similarly, connect your Google Business Profile to track business-related metrics and client interactions.
7. Customizing Your Dashboard
TheraSaaS allows you to customize the dashboard to fit your specific needs:
Add Widgets: Add widgets based on your needs, such as contact information or opportunity details.
Continuous Updates: TheraSaaS is regularly updated, and new customization options will be added over time.
Summary
The TheraSaaS dashboard is a powerful tool for tracking key metrics related to client opportunities, conversions, and business performance. By focusing on the Opportunities, Lost Reasons, and Pipeline, you can make informed decisions to optimize your practice’s success. Be sure to explore the customization options to tailor the dashboard to your specific needs.
