    Track opportunities, conversions, pipeline stages, and tasks at a glance.

What this covers

The Dashboard gives practice owners and intake coordinators a quick view of key metrics for tracking practice performance and client opportunities. This guide walks through the main sections and how to use them.

These are the most commonly used metrics:

Opportunities

How many opportunities were created, lost, or converted in a given period.

Value

The financial value associated with those opportunities.

Conversion Rate

The percentage of opportunities successfully converted into clients.

Opportunities created

Use the default Created On filter to see how many opportunities were created in a timeframe (this year, this month, etc.). For example, a demo account might show only four opportunities created this year.

Opportunities lost

Click Lost to see how many opportunities were marked lost in a period. TheraSaaS lets you add a reason when marking an opportunity lost (e.g., moved out of state, insurance issues, abandonment), which then appears in the lost list.

Conversion tracking

Monitor the conversion rate box to track how many opportunities were successfully converted.

  • View lost opportunities: click Lost and set a timeframe to see contacts marked lost, each with its loss reason.
  • Update lost reasons: always provide a reason when marking a contact lost in the Opportunities tab — you can even create new reasons like "Moved out of state." This supports better future analysis of why clients were lost.
  • Visual pipeline: from the dropdown under Opportunities, select the New Client Appointment pipeline to see the current stage of each opportunity.
  • Stage analysis: spot bottlenecks by reviewing the stages where opportunities pile up, so you can focus on moving them forward.

View tasks related to opportunities directly on the dashboard — see all users' tasks or filter by a specific user. This helps intake coordinators and staff keep track of client tasks so nothing falls through the cracks.

  • Google Analytics: if connected, view website metrics right from the dashboard.
  • Google Business Profile: connect it to track business metrics and client interactions.
  • Add widgets: customize the dashboard with widgets for contact or opportunity details.

TheraSaaS is updated regularly, so new customization options are added over time.

Best practice

Focus on Opportunities, Lost Reasons, and Pipeline together — they tell you what's converting, why deals are lost, and where things get stuck.

Watch out for

Lost-reason analysis is only as good as your data — if staff skip the reason when marking opportunities lost, your dashboard insights lose accuracy.
