How to upload contacts from a CSV file?

Uploading contacts from a CSV file to TheraSaaS is an efficient way to manage client data, especially if you're transferring contacts from a previous CRM or adding new leads. Follow this simple process to get it done quickly and accurately.


1. Locate the Import Function:

  • Log in to your TheraSaaS account.

  • Go to the Contacts tab. Once there, click on the Import Contacts button.


2. Upload Your CSV File:

  • After clicking the Import Contacts button, either drag and drop your CSV file into the upload box or click to browse and upload the file.

  • For example, if you have a CSV file with several leads you want to import, simply add it here and click Next.


3. Match CSV Columns with TheraSaaS Fields:

  • TheraSaaS will automatically match the CSV column headers (e.g., First Name, Last Name) with the corresponding contact fields in the platform. Review this carefully.

  • If there are any unmatched fields (e.g., custom fields that TheraSaaS doesn’t recognize), you can manually select a matching field or choose to leave it blank. Any unmatched data can be skipped by leaving those fields blank.


4. Finalize Import Settings:

  • After verifying the column matches, click Next.

  • You'll be prompted to name the import file. You can either keep the auto-generated name or customize it.

  • Under Advanced settings, decide whether to:

  • Add new contacts only.

  • Update existing contacts with matching data (based on email or phone).

  • Add new and update existing contacts.

  • For instance, if you're importing from a previous CRM, it's often best to choose the "Add New and Update Existing" option to ensure no duplicate records.


6. Add Tags to Imported Contacts:

  • You have the option to tag contacts upon import. This is extremely useful for organization. For example, if your contacts come from a specific EHR system, you can tag them as “EHR Clients” for easy tracking and filtering later.


7. Submit the Import:

  • Once everything is set, click Submit. You'll see a confirmation message indicating that your file is being processed. You can track the progress by clicking the link provided.


8. Verify the Imported Contacts:

  • After the import is complete, the system will confirm the upload’s success, showing the date and time of completion, as well as the details of the added contacts.

  • To check if the contacts were added successfully, go back to the Contacts tab. You should see the newly added contacts along with any tags you assigned.

For example, if you uploaded contacts like Ron Weasley or Hermione Granger, they should now appear in your TheraSaaS contact list, complete with the “EHR Clients” tag (or whatever tag you chose).

This streamlined process will save you time and help ensure your contacts are seamlessly integrated into TheraSaaS. By following these steps, you can manage your client data more effectively and keep your practice organized.
