How to Set Up Call Tracking: Number Pool

Why this feature is useful

Number pools let you track which marketing sources are actually driving phone calls. A pool of phone numbers gets displayed on your landing pages or website, and a different visitor sees a different number depending on where they came from (a Google ad, an organic search, a direct visit, etc.). When that visitor calls, TheraSaaS matches the number they dialed back to their visit, so the call shows up in your reporting with the source — and even the search keyword — attached.

  • Comparing call volume across multiple ad sources by assigning each source its own tracked number using a Group ID
  • Capturing the exact keyword a visitor searched before they called, so you can see which keywords convert to phone leads
  • 1Create the number pool
    Go to Settings → Phone Numbers. Open the + Add Number dropdown and select Add Number Pool. Choose Visitors Activity as the tracking type, then select which visitors you want tracked — we recommend All Visitors for the most complete picture. (Choosing PPC Search only swaps numbers for visitors arriving from a paid ad.)
  • 2Name the pool and set its size
    Give the pool a recognizable name, then choose the pool size. Every pool needs a minimum of 4 tracking numbers — higher call volume generally calls for a larger pool so numbers aren't reused too quickly.
  • 3Set the forwarding number
    Enter the business number where calls to your tracking numbers should actually ring. Note: this cannot be a TheraSaaS/Twilio number — using one will create a call-routing loop. Always point this to an external number.
  • 4Set the swapping number
    This is the number that gets displayed on your site and swapped in dynamically. You can reuse the forwarding number here, or uncheck the box and set a separate number for display purposes.
  • 5Choose your tracking numbers
    Pick numbers from one of three options:
    • Local numbers matching the area code of your forwarding number
    • Toll-free numbers, useful when local options are limited
    • Numbers from a chosen area code — type in any area code and check availability
  • 6Configure number features and activate
    Set an optional whisper message (heard only by your team, not the caller) so you know the source of the call before answering. Enable call recording and customize the recording disclaimer if needed. Click Activate Number to finish.
  • 7Add the tracking snippet to your site
    Open your new pool, click the three-dot menu, and select Number Pool Info to copy the Normal Snippet Code. In your Sites → Funnels/Websites settings, paste the snippet into the Body Tracking Code field to swap the number sitewide, or paste it into a single page's Footer Tracking code if you only want that page's number swapped. Save your changes.
  • 8(Optional) Set up a Group ID for multiple campaigns
    If you're running several campaigns and want each one to display its own number, edit the pool and add a Group ID. Give each group a name, then place that group's snippet on the matching landing page so the right tracking number shows for the right campaign.

Once your snippet is live, TheraSaaS automatically links each call back to the visit that generated it.

  • Open the Call Report under Reporting to see the Keyword column populated for calls that came from a tracked visit
  • Scroll right and expand a call's row to see the page the visitor was viewing before they called
  • Click a contact's name to view their full activity timeline leading up to the call
  • For keyword-level detail from Google Ads, add ?keyword={keyword} to your ad's destination URL so the search term is captured alongside the call

After adding the snippet, open an incognito browser and visit your landing page URL directly to confirm the number changes. If your tracking option is set to All Except Direct, you'll need to click through from another page rather than typing the URL directly, since direct visits won't trigger the swap.

What does each number in a pool cost?
Each number in a pool is billed at the same rate as a standard TheraSaaS phone number at $2,30/mo, and every pool requires a minimum of 4 numbers. Larger pools cost more, so size the pool to your traffic volume. Number costs can be reviewed under Subaccount → Settings → Phone Numbers.
Can calls from a number pool ring the web or mobile app instead?
No — calls to a number pool can only be routed to the forwarding number you configured.
Best practices

Track All Visitors rather than PPC-only for the fullest attribution picture, and size your pool to your traffic — a pool that's too small will reuse numbers and blur your data.

When to contact support

If the swap script isn't updating numbers on your site after the snippet is installed correctly, or calls to tracking numbers aren't reaching your forwarding number, contact support with your pool name and the affected page URL.
