New User Roles & Permissions Interface

This guide explains how to assign roles and configure user permissions with the newly enhanced roles and permissions interface in TheraSaaS. You now have more granular control over the access rights of your team members.


1. Access the Roles & Permissions Settings

  1. Log in to TheraSaaS.

  2. Navigate to Settings:

    • On the left-hand side, click on Settings.

    • Under My Business, select My Staff.

  3. Choose a User:

    • Select the user whose permissions you want to configure (e.g., Layla in this example).


2. Assigning a User Role

  • Admin Role:

    • The Admin role grants full access to the entire TheraSaaS platform, allowing the user to manage and update records, access all contacts, opportunities, and calendars.

    • However, even within the Admin role, you can still limit the access to specific features of TheraSaaS (e.g., only giving access to contacts or dashboards).

  • User Role:

    • The User role limits access to information that is assigned to them.

    • For example, if you assign a user to only handle specific contacts or tasks, they will only see that data.


3. Configure Permissions for Different Features

Once you've assigned a role, you can configure specific permissions for different features. Here’s how:

  • Contacts: Choose whether the user can view and manage contacts.

  • Opportunities: Give access to tasks and opportunities assigned to the user or all records.

  • Automations: Most team members, like intake coordinators, will only need access to automations.

  • Calendar: Turn on or off access to calendar features.

  • Communities and Certificates: Enable or disable access depending on whether you are using the membership module.

  • Dashboard: If you want intake coordinators to track their performance, give them access to view the dashboard. You can also turn this off if not needed.

  • Funnels and Marketing: Turn off access to funnels and marketing unless the user will be using social media planners or email templates.

  • Payments and Reputation: Control access based on the user’s need to handle billing and reputation management.


4. Log In As the User to Check Permissions

After configuring permissions, you can log in as the user to verify what they can access:

  1. Go to the Staff section.

  2. Click on Roles & Permissions for the user.

  3. Switch their account role or permissions as needed.

  4. Save changes and log in as the user to verify that the permissions are set correctly.


5. Copy Permissions to Other Users

You can copy the permissions setup from one user and apply it to others. This is particularly useful if multiple users need similar access:

  1. In the Roles & Permissions section, use the option to copy permissions from one user to another.


6. Adjust Permissions as Needed

  • You can always go back to the My Staff section to adjust permissions for any user.

  • If a user role changes (e.g., promoting a staff member to an admin role), simply modify their role and permissions, then save the changes.


Summary

Using the new User Roles & Permissions interface in TheraSaaS, you can easily manage what each staff member can access. Assign Admin or User roles based on their responsibilities, configure granular permissions for each module (contacts, tasks, calendars, etc.), and ensure the right people have the right access.
