The Opportunities - Visual Pipeline on TheraSaaS provides a clear overview of where each prospective client stands in your intake process. This guide walks you through accessing and understanding the different stages of the pipeline, which allows you to manage incoming leads effectively.


1. Navigate to the Visual Pipeline

  1. Log in to TheraSaaS:

    • Start at your Dashboard.

  2. Access Opportunities:

    • Hover over the Opportunities tab.

    • Click Opportunities to open the visual pipeline view.


2. Understand the Visual Pipeline Layout

The visual pipeline is designed to give you a broad view of the status of all incoming leads in different stages, from initial outreach to waitlisting.

  • New Client Leads:

    • This is the starting column. Leads in this stage have filled out the intake form on your website and likely received automated messages.

    • They are awaiting a response from the intake coordinator or yourself if you manage intake solo.

  • Client Contacted:

    • This column shows leads you've already reached out to but have not yet scheduled, closed, or categorized further.

    • These clients are still open and have expressed interest but haven't moved forward yet.

  • Needs Follow-Up:

    • Place leads here if they require further action or a delayed follow-up (e.g., they are on vacation or asked to be contacted in the future).

    • This is a holding area for leads who are interested but cannot proceed immediately.

  • Waitlist:

    • Use this column for clients who cannot be scheduled currently due to capacity constraints.

    • This is ideal for practices with limited openings, allowing you to manage potential clients and maintain a waitlist.


3. Manage Leads Through the Pipeline Stages

  1. Review Each Column Regularly:

    • Keep the pipeline updated by moving leads across columns as they progress through the intake process.

    • This visual overview helps ensure no client is overlooked and that you can track each lead’s status.

  2. Track and Plan Your Intake Workflow:

    • Use the visual pipeline as a 30,000-foot view of your entire intake process, making it easy to monitor new leads, follow-ups, and waitlisted clients.


4. Customize the Pipeline (Optional)

In a different part of TheraSaaS, you can customize pipeline stages to align with your practice’s specific intake flow, allowing flexibility in managing leads based on your needs.
