This tutorial demonstrates how to create an automation in TheraSaaaS that automatically moves clients or opportunities marked as "Won" in one pipeline to another follow-up pipeline. This ensures consistent follow-up and prevents opportunities from slipping through the cracks.
Steps:
Create a New Workflow:
- Navigate to the "Workflows" section in TheraSaaS.
- Create a new workflow and give it a descriptive name (e.g., "Won Opportunity Follow-up").
Set the Trigger:
- Trigger Type: "Opportunity Status Changed"
- Filter 1: "In Pipeline" - Select the source pipeline (e.g., "New Client Appointment").
- Filter 2: "Moved to Status" - Select the "Won" status.
- Optional Filter: Add a stage filter to further refine the trigger (e.g., "Scheduled with Therapist"). This ensures the automation only applies to opportunities won at a specific stage.
Add the "Update Opportunity" Action:
- In Pipeline: Select the destination pipeline (e.g., "New Client Success").
- Stage: Select the appropriate stage in the destination pipeline (e.g., "Initial Treatment Plan").
- Status: Keep the status in the follow-up pipeline as "Open."
(Optional) Add Notifications:
- Action Type: "Send Internal Notification"
- Notification Type: Choose the preferred notification type (e.g., email).
- Recipients: Select the team members who should receive the notification.
- Subject & Body: Customize the notification message.
(Optional) Add Further Actions:
- Wait Step: Schedule follow-up actions (e.g., emails, surveys) after a specified time.
- Email Step: Send automated emails to clients at different stages of the follow-up process.
Publish the Workflow:
- Save and publish the workflow to activate the automation.
Benefits:
- Streamlined Follow-up: Ensures consistent and timely follow-up with clients.
- Increased Efficiency: Automates manual tasks, freeing up team time for other priorities.
This automated workflow helps streamline your client success process and ensures that all opportunities are effectively followed up on, maximizing your client acquisition and retention efforts.
