How to Automate Documents & Contracts?

Automating document and contract delivery in TheraSaaS helps streamline the process of sending multiple documents without needing to send each one manually. Follow these steps to set up an automation using tags.


1. Set Up a Tag to Trigger Automation

  1. Create a New Tag:

    • Go to Settings > Tags.

    • Click Add New Tag and name it (e.g., "Intake Paperwork Send").

    • This tag will trigger the automation when assigned to a contact.

  2. Organize Tags (optional):

    • If needed, use folders to organize tags for easy access.


2. Create an Automation Workflow

  1. Navigate to Automations:

    • Go to Automations and click Create Workflow > Start from Scratch.

    • Name the workflow (e.g., "Intake Paperwork Automation").

  2. Set the Trigger:

    • In the new workflow, select Add Trigger.

    • Choose Contact Tag as the trigger and select the Intake Paperwork Send tag created earlier.

    • Save the trigger to activate it within the workflow.


3. Add Document & Contract Actions

  1. Configure Document Sends:

    • Under the automation steps, click Add Action and choose Send Document or Send Contract.

    • Select the specific document or contract template you want to send (e.g., “Payment Consent”).

    • Set the Sender information as needed.

  2. Repeat for Additional Documents:

    • To send multiple documents, repeat the Add Action step for each one.

    • You can copy and paste existing actions to streamline the setup, adjusting only the document template for each action.


4. Save and Activate Automation

  1. Save the Workflow:

    • Once all documents are added to the workflow, click Save.

    • Check for the workflow under Automations to ensure it’s active.

  2. Test the Automation (optional):

    • Assign the Intake Paperwork Send tag to a contact to test the automation and verify the documents are sent automatically.
