This guide provides a step-by-step process to create documents and proposals in TheraSaaS, upload templates, add fillable fields, and send for signature.
1. Access Documents and Contracts
Navigate to the Documents Module:
On the sidebar, click Payments.
Under Documents and Contracts, select Templates to view and manage your document templates.
2. Create or Upload a New Document
Click “New”:
In the top right, click New to create or upload a document.
Choose the Document Type:
Upload a PDF:
Select Upload a PDF, then drag your file or click to upload.
Once uploaded, the PDF opens in the document builder for further customization.
Create a New Template:
Select New Template to open a blank document builder.
3. Build and Customize Your Document
Name and Structure the Document:
Enter a name (e.g., “Job Offer Template”).
To add elements, click Add Element (top left) to choose from Text, Image, Video, Table, Product List, Page Break, and Fillable Fields.
Add Custom Fields:
For recipient-specific details, use Custom Values:
Account Details (e.g., your practice’s name): select Custom Values > Account.
Recipient Details (e.g., recipient’s name): select Custom Values > Contact.
Add Fillable Fields:
Insert fillable text fields, signature fields, and date fields for recipients to complete and sign.
Drag and drop fields to the desired locations.
Resize fields if needed to fit the layout.
4. Create and Customize Additional Templates
Create and Configure Fields:
To collect specific information (e.g., name, date of birth, phone number), add Text Fields and adjust Placeholder Text (e.g., “Full Name” or “MM/DD/YYYY” for dates).
Assign Fillable Fields:
Assign fields to specific recipients (e.g., patient name, signature) to clarify who fills each part of the document.
Save the Template:
Once complete, click Save to ensure all changes are stored.
5. Use and Send the Template
Select a Recipient:
Click Use Template in the top right to prepare the document for sending.
Assign the Primary Client or select Add Recipient to specify who receives and signs the document.
Send the Document:
Choose Send via Email to send the document directly.
6. Recipient Completion Process
View and Complete the Document:
The recipient will receive an email notification with the document link and an overview of fields needing completion.
Click Start Filling Out to enter the document viewer.
Auto scroll and Sign:
Use the auto scroll feature to navigate through fields quickly.
Complete required fields, add signatures, and finish by selecting Finish.
