This guide outlines how to create, edit, and manage custom fields within TheraSaaS to tailor forms according to your specific data collection needs.
1. Understanding Custom Fields in TheraSaaS
Pre-Set Fields: Standard fields like "First Name" or "Last Name" are already built into TheraSaaS.
Custom Fields: Custom fields can be created to ask unique questions (e.g., "How would you like to receive services?" or "What is the best way to contact you?").
These fields allow you to personalize your forms based on how you want to gather information.
2. Adding Custom Fields
Steps to Add Custom Fields:
Open the Form Builder:
Inside a sample form, go to the Form Builder.
Add a New Field:
Click the + (Add Form Element) button in the upper left corner.
This will open the Quick Add tab where you can add personal information fields like First Name, Last Name, Phone Number, etc.
Scroll to find additional elements such as Payment, Address, or Custom Fields.
Create a New Custom Field:
Click the blue Add button.
Choose the type of field you want to create. Examples:
Single Line: Short sentence responses.
Multiple Line: Longer text responses.
Value Field: Number or phone number.
Drop-Down: Single or multiple choices.
Radio Buttons, Checkbox, Date Picker, or File Upload.
Example of Adding a Dropdown Field:
Choose Dropdown and click Next.
Field Name: Enter the question (e.g., "Who is this service for?").
Location: Choose whether to add the field to Contact (visible in the contact page) or Opportunity (visible in the pipeline).
Option Name: Add the response options (e.g., Daughter, Parent, Sibling).
Unique Key: (Optional) Add a unique key if this field will be used in automations.
Click Save to add the field to your form.
Preview and Save:
Preview the form to see how the custom field appears (e.g., the dropdown options).
Ensure the Save button is pressed whenever there are changes (an orange/yellow dot on the save button indicates unsaved changes).
3. Managing Custom Fields
Editing Custom Fields:
Navigate to Custom Fields:
Go to Settings → Custom Fields.
Search for Existing Fields:
Use the Search Box or filter by the folder (e.g., "New Client Submission Fields") to find your custom fields.
Example: Search for "Who is this service for."
Edit Field Details:
Click the checkbox next to the field name and select Bulk Actions → Edit.
You can edit the Field Name and options (e.g., change dropdown choices), but Object and Group cannot be changed.
Moving a Field to a Different Group:
Select the field, click Bulk Actions, and choose Move to Group.
Choose the new group or folder where you want to move the field.
4. Best Practices
Always check for the orange/yellow glowing dot next to the Save button after making changes. Ensure you hit Save to avoid losing progress.
When adding fields, think about how you want to structure the information (whether in the Contact or Opportunity sections) to streamline data management.
Summary
Custom fields in TheraSaaS offer great flexibility in form creation, allowing you to tailor your data collection for clients and opportunities. Following the process above ensures that you can create, edit, and manage fields efficiently, making client intake and form submissions more personalized and organized.
