Creating QR Codes in TheraSaaS

Modified on Wed, 7 Oct at 2:04 PM

What is QR code generation

The QR Code Generator in TheraSaaS lets you create scan-ready codes that link to destinations such as marketing funnels, consultation booking links, sign-up pages, or your waiting room check-in form! QR codes can be customized with your clinic's brand elements, shapes, and styles, then downloaded for use in print or digital media — like a waiting room poster or an appointment reminder email.

QR codes can redirect people to any of the following destinations. Here are some ways a mental health clinic might use each one:

DestinationClinic example
WebsiteYour clinic's homepage or "Meet Our Therapists" page
CallYour front desk phone number, printed on a brochure
SMSA text message to your intake line to request a consultation
EmailYour intake or scheduling email address
PaymentA link to pay a copay or an outstanding balance
FunnelYour new client inquiry or appointment request funnel
FormYour lobby check-in form or new client intake form
SurveyA client satisfaction or session feedback survey
QuizA mental wellness self-check quiz that leads to booking a consult
Dynamic URLs

QR codes use dynamic URLs, so you can update a QR code's destination at any time without generating a new QR image. A printed waiting room poster keeps working even if you later switch the destination.

  • 1Navigate to QR Codes
From your account dashboard, click Sites in the left-hand menu, then click QR Codes in the upper navigation ribbon. Click Create QR Code in the top right, or + Create New in the center of the screen.
  • 2Add a QR name and choose a type
Enter a name for your QR code, select the type you'd like to generate (e.g., Website, Review Link, Funnel, Form, Quiz, Call, SMS), and paste in the URL or relevant input, such as a phone number or review link. Click Next to begin customizing the design.Name: Waiting Room Check-In  ·  Type: Form  ·  Destination: your lobby check-in form
As soon as you enter your destination details, TheraSaaS automatically stores the data so you can test the QR code right inside the builder before saving. You can scan and confirm it works immediately, without guessing or re-editing later.
  • 3Customize your QR code
The QR Code Builder lets you tailor the look of your code to match your clinic's brand:
    SettingWhat it does
QR ShapeChoose Square, Rounded Square, or Circle
Background ColorChange the background behind the QR elements
Dot ColorModify the color of the QR's data dots
Dot StyleChoose between classic, square, or rounded shapes
Marker Border & CenterCustomize the corner markers' shape and color
Border and FrameAdd a border or frame to your QR code and customize its color
Rim ContentAdd CTA text to the top and bottom of the code to make it clearer, such as "Scan to check in" or "Scan to leave a review"
Logo or Background ImageAdd a logo in the center of the code, or overlay a background image
Under the Logo tab, choose between no logo, a predefined logo (such as Google, YouTube, etc.), or uploading your own — for example, your clinic's logo. You can remove the background behind the logo if needed.

Once your QR code is fully customized, you can choose from multiple ways to use it:

OptionBest for
PNGWebsites, email, and digital assets — like your clinic website or an appointment reminder email
SVGResponsive or scalable designs
PDFPrint — like waiting room posters, intake packets, or brochures
Copyable LinkInstantly sharing a link to the QR code without downloading the image

If you're not ready to download, click Save and the QR code will appear under your QR Codes list.

You can view, edit, move, or delete any QR code you've previously created:

  • 1Open the QR Code dashboard
Navigate to the QR Code dashboard and hover over any code to see the action buttons.
  • 2Edit or manage the code
Click the blue Edit button to edit details, or click the 3-dot icon to delete, move, or download the code.
  • 3Move a code to a folder
To move a QR code to a new folder, select Move to Folder, then choose the desired folder (for example, a "Waiting Room" or "Marketing" folder).

If no background, header, or footer is added, the QR code is automatically trimmed, giving it a cleaner, more compact appearance.

True transparency for PNGs: PNG QR codes can be generated with 100% transparency, making it easy to overlay the code onto existing designs or backgrounds — like a clinic flyer or brochure — in your preferred image editor. To create a transparent PNG, adjust the background color alpha slider to the far left (0% opacity) within the QR code builder.

Where clinics can use QR codes
  • Waiting room check-in poster
  • Thank-you cards that link to your review page
  • Intake paperwork and new client welcome packets
  • Brochures, business cards, and clinic flyers

Update a QR code's destination any time without reprinting it, test it in the builder before saving, and organize your codes into folders so they're easy to find later.
