What this covers

This guide outlines how to configure a dedicated sending domain or email service in your TheraSaaS account, so the emails your practice sends look professional and maintain a good reputation with email providers.

Access the Email Services Section
  • 1Log in to TheraSaaS
Sign in to your TheraSaaS account.
  • 2Navigate to Settings
    Open Settings from your account.
  • 3Open Email Services
Under the Business section, find and click Email Services.

There are two ways emails can be sent from your account:

Default email service

TheraSaaS has a built-in email service that uses a standard domain.

e.g., replies.therasaas.com
Dedicated sending domain

To maintain your own branding, configure a dedicated sending domain so your practice's domain appears in outgoing emails.

e.g., yourpractice.com
Add a Dedicated Sending Domain
  • 1Open Dedicated Domain and IP
Click the Dedicated Domain and IP option within the Email Services section. If no dedicated domain is configured yet, you'll see the message "No dedicated domain found."
  • 2Add your domain
Click Add Domain and enter your domain name.yourpractice.com
  • 3Configure the DNS records
After you add your domain, TheraSaaS provides a set of DNS records (TXT, MX, etc.) that you need to configure with your domain hosting provider. Follow the instructions provided for updating the DNS records — the steps may vary depending on your domain host, but TheraSaaS gives you instructions to follow.
  • 4Verify the domain
Once the DNS records are updated, return to TheraSaaS and click Verify to complete the setup.
Configure a Subdomain for Email Sending
  • 1Set up a sending subdomain
After verification, you can set up a subdomain for sending emails, such as:
    • replies.yourpractice.com
    • mg.yourpractice.com
This ensures all outgoing emails reflect consistent branding for your practice.
Test the Setup
  • 1Send a test email
Send a test email to confirm it comes from your desired vanity email address.name@yourpractice.com
  • 2Check the mailed-by and signed-by fields
Make sure both the mailed-by and signed-by fields reflect your chosen domain, keeping your emails consistent and professional.
Summary

Configuring a dedicated sending domain helps maintain your brand's reputation with email services and keeps your email communications consistent. Add your domain, configure the DNS records, and verify your setup.

Troubleshooting & support

If you run into issues, such as DNS configuration challenges or verification problems, contact TheraSaaS support. Each domain host has slightly different DNS steps, and the support team can guide you through the process if needed.
