This guide outlines how to configure a dedicated sending domain or email service in your TheraSaaS account, ensuring that emails sent from your practice appear professional and maintain a good reputation with email providers.


1. Access the Email Services Section

  1. Log in to TheraSaaS.

  2. Navigate to Settings.

  3. Under the Business section, find and click on Email Services.


2. Understanding Email Services

  • By default, TheraSaaS has a built-in email service with a standard domain (e.g., replies.therasaas.com).

  • If you wish to maintain your own branding, you can configure a dedicated sending domain, which will display your practice's domain in outgoing emails.


3. Adding a Dedicated Sending Domain

  1. Click on the Dedicated Domain and IP option within the Email Services section.

    • If no dedicated domain is configured, you’ll see a message saying "No dedicated domain found."

  2. Add Your Domain:

    • Click Add Domain.

    • Enter your domain name (e.g., yourpractice.com).

  3. DNS Records:

    • After adding your domain, TheraSaaS will provide a set of DNS records (TXT, MX, etc.) that you need to configure with your domain hosting provider.

    • Follow the instructions provided for updating the DNS records.

      • The steps may vary depending on your domain host, but instructions will be provided by TheraSaaS.

  4. Verification:

    • Once the DNS records are updated, return to TheraSaaS and click Verify to complete the setup.


4. Configuring Subdomain for Email Sending

  • After verification, you can set up a subdomain for sending emails, such as:

    • replies.yourpractice.com

    • mg.yourpractice.com

  • This ensures that all outgoing emails reflect consistent branding for your practice.


5. Testing the Setup

  • Send a test email to verify that the emails are coming from the desired vanity email (e.g., name@yourpractice.com).

  • Ensure that both the mailed-by and signed-by fields reflect your chosen domain, maintaining consistency and professionalism.


6. Troubleshooting and Support

  • If you encounter issues, such as DNS configuration challenges or verification problems, contact TheraSaaS support for assistance.

  • Each domain host may have slightly different steps for DNS configuration, and the support team can guide you through the process if needed.
