Follow these steps to effectively add custom field information, such as appointment times, issues, and insurance questions, to the contact notes in TheraSaaS.
1. Access the Appointment Form Builder
Go to Forms:
In the TheraSaaS dashboard, click on Forms.
Select Builder:
Choose Builder from the dropdown menu.
Open the Client Appointment Form:
Click on New Client Appointment Form to access the form.
2. Identify Required Fields
Locate Necessary Fields:
Scroll through the form and identify the fields you want to include in the notes:
Available Times
Issues to Work On
Insurance Questions
3. Set Up Custom Fields in Automation
Access Automations:
Click on Automations and select your New Client Appointment Form.
Add Availability Action:
Scroll down to Action Items and find Add Availability and Specific.
Click on it to expand the options.
Insert Custom Values:
Click on the Contact field to scroll down to Custom Fields.
Locate and select the following custom fields one by one:
Issues You’d Like to Work On (briefly describe)
Insurance (Were you hoping to use your insurance?)
Provide Three Times (available times)
Format the Information:
Before adding each custom field, type a label for clarity. For example:
Type Issues: followed by the field for "Issues You’d Like to Work On."
Add Insurance: before the insurance question field.
Add Available Times: for the field on appointment times.
Organize the Layout:
Ensure there are spaces between the labels and the custom field responses for clarity:
Issues: [Response]
Insurance: [Response]
Available Times: [Response]
4. Save Your Changes
Hit Save:
Once you’ve arranged the custom fields and formatted the notes, click Save at the top of the page to ensure all your changes are stored.
